Registration Fees
The registration fee for regular delegates, students/post-docs and media representatives includes entry to all Conference sessions, the exhibition and poster area, the opening ceremony, welcome reception and the closing ceremony.
Conference publications, including the Final Programme and the Abstract CD-ROM are also included for all pre-registrations but are not guarenteed to onsite registrations.
Onsite payments can be done by credit card or cash(US$ or R$ only).

Accompanying Persons Registration
A special registration package is available for persons accompanying
regular delegates. This package is available for US$ 100 and includes
entry to the opening ceremony, the welcome reception, a city tour and
the closing ceremony.
Group Registration
All group registrations (minimum 10 participants) for the Conference must be submitted by using the respective group registration form:

As soon as we have received the completed registration form and payment in full, you will receive a password with which you are able to enter the names of your participants directly into the IAS 2005 Conference registration system.
The Group Registration desk will be open 1400-1700 on Saturday 23 July.
Accommodation
Accommodation for conference delegates will be organised through the IAS 2005 Accommodation Department, c/o K.I.T Association & Conference Management Group. The rates quoted are estimated rates only. The applicable rates for 2005 will be confirmed upon booking.
You can book your hotel when you register for the Conference. Alternatively, if wish to book your hotel accommodation after you have registered, please download and complete the Hotel Booking Form at the bottom of the page and send by fax to the IAS 2005 Accommodation Department.

Hotel Booking Payment Policy
When submitting your hotel reservation form, you will be asked
for your credit card details. These will be forwarded to the hotel as a guarantee. The hotel reserves the right to debit the credit card up to 12 weeks prior to your arrival date. You will be charged for all hotel costs directly by the hotel. Any balance due for your hotel reservation will be payable to the hotel directly upon checking out.

In the event that the chosen hotels are fully booked, the IAS 2005 Accommodation Department reserves the right to book another available hotel of the same category.
You can book your hotel when you register for the Conference using the Online Delegate registration form.
Alternatively, if you wish to book your hotel after you have registered, please fill out the Hotel Reservation Form and return it by fax to the IAS 2005 Accomodation Department.
Please note that there are special conditions for hotel group bookings
(10 rooms and more) and arrangements. For more information regarding group bookings, or to receive a quotation for a block booking, please contact the IAS 2005 Accommodation Department at accommodation@ias-2005.org.
Cancellation of Hotel Booking
Complete Hotel Cancellation: Notification of cancellation of your complete registration must be made in writing and sent to the IAS 2005 Accommodation Department at accommodation@ias-2005.org. Reservations, cancellations or changes to an existing booking will not be processed by telephone. An administrative fee of US$ 75 will be charged for processing a requested complete cancellation. If the cancellation is received before 1 May 2005, the cancellation will be penalty free minus the administration fee. If the cancellation is received after 1 May 2005, the hotel and/or IAS 2005 Accommodation Department reserve the right to charge a cancellation penalty to the credit card provided of up to 100% of the room rate for each cancelled night.
Partial Hotel Cancellation/Booking change: Notification of a partial cancellation (date change) or booking change (change of room type, room category, change of hotel, name change etc) must be made in writing and sent to the IAS Accommodation Department at accommodation@ias-2005.org. An administrative fee of US$ 20 will be charged for processing a requested partial cancellation/booking change. Booking changes will be processed according to availability, and any additional amount due that may result from the booking change will be payable in full to the hotel directly. If the partial cancellation is received by the IAS 2005 Accommodation Department before 1 May 2005, the partial cancellation will be penalty free minus the administrative fee. If the partial cancellation is received by the IAS Accommodation Department after 1 May 2005, the hotel and/or IAS Accommodation Department reserve the right to charge a cancellation penalty to the credit card provided of up to 100% of the room rate for each cancelled night.
Liability
The IAS shall be held liable in the framework of a duty of care as a respectable businessman according to statutory provisions. The liability of the IAS - for whatever legal reason - shall be limited to intent and gross negligence. The liability of commissioned service providers shall remain unaffected by this. The participant shall take part in the Conference at his/her own risk. Oral agreements shall not be binding if these have not been confirmed in writing by the IAS.
Data Protection
The IAS will collect and store all personal data for the preparation and execution of the 3rd IAS Conference on HIV Pathogenesis and Treatment. In addition, the IAS periodically shares contact details of delegates with third parties who may use these details to contact delegates regarding activities at the Conference or other communications which may be of interest. Therefore data protection is warranted in accordance with the Swiss Data Protection Act and the Tele-Service Data Protection Act.
Electronic Name Badge
An electronic name badge will be sent to each participant by postal mail. This badge must be worn at all times during the Conference. Access to the Conference facilities will not be granted without a proper name badge. The data collected will be used by the IAS for statistical purposes and will be shared with third parties who may use these details to contact delegates regarding activities at the Conference or to send out other communications which may be of interest.
Lost Name Badge
If a participant loses his name badge, a handling fee of US$ 60 will be charged for a new name badge. Upon handing out the new name badge, the lost badge will be deactivated and become invalid.
Fulfilment and Jurisdiction
This contract is subject to the law of Geneva, Switzerland. The terms of this contract shall be fulfilled in Rio de Janeiro, Brazil and in the event of any legal claims arising from either party, Geneva, Switzerland shall be the sole court of jurisdiction.

All conference delegates must personally check in at the appropriate Registration Desk in Pavilion 5 to pick up their conference bag and badge before attending any Conference sessions or events.
Please keep your confirmation letter containing your registration number with you at all times.
